The Challenge

Cushman and Wakefield (C&W) is a global real estate services firm with over 145 offices worldwide and more than 10,000 employees. The company manages all aspects of commercial real estate, specialising in disposals and acquisitions, advising and representing tenants and landlords on buying and selling commercial property.

For each property that C&W handles, there are in the region of 100 different documents related to that property, including marketing brochures, photographs, general correspondence and property plans. These documents were being filed and stored in the C&W offices, taking up increasing amounts of floor space. C&W needed to free up some of this valuable space by converting property documents to electronic format and storing them in a central system, with an efficient filing process so that employees could find the documents easily.

Additionally, C&W are increasingly moving towards multi-office working patterns so making original paper documents available electronically, and easily accessible between offices, from home and at work, has great time saving as well as space saving benefits.

The Solution

Cushman and Wakefield selected Kainos to design a solution that would enable them to scan property documents and automatically file them in the correct area of their file plan implemented in Microsoft SharePoint 2007, giving C&W staff fast and easy access. The new scanning and filing system designed and implemented by Kainos facilitates the following:

  • Scanning of all hard copy documents in various formats and conversion to electronic documents using Kofax scanning tools.
  • A workflow process, using K2 technology, automatically files scanned documents into the correct location in the file plan using meta-data extracted from scanned coversheets to locate the file plan area.
  • Filing of Outlook emails and other Microsoft documents into the SharePoint file plan using an add-on called WISDOM DMF.
  • Easy creation of new filing areas in the file plan by using a .Net Winform application to capture information about the filing area and a K2 workflow process to create the resulting SharePoint site.
  • Integration of Kofax with walk up multi-functional devices on the office floors gives C&W staff the ability to email internal documents from photocopiers, scanners and fax machines etc. and also to store these scans in SharePoint mysites. This will facilitate better and more efficient internal communications between staff.

The Benefits

The new scanning and filing system has dramatically reduced the volume of hard copy documents that had been taking up valuable office space. All old documents have been scanned and hardcopies archived at an off-site location, freeing up office space for other revenue generating activities.

C&W employees can do their jobs more efficiently. The new scanning and filing system provides C&W staff with fast and easy access to property related documents that had previously been filed in paper files and on different office floors, making them difficult to access. The new system is fully searchable and documents are automatically filed correctly, placing the required property documents at employee fingertips. Documents are now available at home and at work through browser based access.
