The Clatterbridge Cancer Centre NHS Foundation Trust , one of the largest cancer centres in the UK, is to standardise on Kainos Evolve, in a third successive major healthcare project win for the electronic document management (EDM) solutions specialist.

Under the new agreement, Kainos will provide the Trust, based in Wirral, Merseyside, with a comprehensive EDM solution (Evolve) to improve patient care and the use of patient notes.

Evolve, developed in conjunction with NHS clinicians and underpinned by Autonomy Records Management™, the world’s most advanced retention and disposition solution, is a massively scaleable EDM solution that addresses the next-generation paper and electronic document demands of NHS Trusts across the UK and Ireland.

“The nature of our service delivery can often mean patients will attend clinics away from our main Clatterbridge site, in locations throughout the Cheshire and Merseyside areas” explains Danny Rowbotham, EDRMS Project Manager at the Trust. “Although we’re developing a comprehensive EPR system, we still have to use paper-based notes containing various information from our referring Trusts. Transporting the files is costly and time-consuming. We are expecting the EDM solution to  help facilitate more timely access to patient notes at our remote clinics and the reduction of transportation, administration and stationery costs.”

To win the contract, Kainos competed with five other suppliers during a formal tender process. “Kainos impressed us with their Evolve system, the approach they displayed at each stage of the procurement process, their professionalism and the competitive tender,” Danny says of the Trust’s decision to deploy Evolve. “We attended two reference sites in the final stage of the procurement process, including Ipswich Hospital where we saw the Evolve system in operation.”

“We were impressed with the slick user interface and functionality of the system and the feedback received from the project team about their experiences of working with Kainos. We were particularly impressed with the feedback from clinical staff using the system at Ipswich.”

The Clatterbridge project is due to start in September, with implementation beginning early in the New Year and full roll-out completed during 2011. “We are hoping the system will be used throughout the hospital, predominantly for managing patient case files, so that all departments use it as their document store, but also as a corporate records solution for everything from invoices to emails and the Trust’s policy documents,” Danny explains.

The Trust’s Head of Information Management & Technology, Tom Poulter, explained that “Evolve is the final piece of the ‘EPR jigsaw’. It will provide a highly functional electronic version of the full medical notes, integrated with a new version of the core Electronic Patient Record system, MAXIMS. Incorporating Evolve will provide the most comprehensive EPR solution for the Trust, with the patient case file accessible alongside treatment scheduling, prescribing, care planning, patient journey management, therapies, clinical documents, order communications and PAS functionality – all integrated seamlessly at the user interface level.”
