Kainos CodeCamp Terms and Conditions - In-person
Terms and conditions of participation
- Places on Kainos Academy events are limited. Kainos Software Limited (“Kainos”) reserves the right to refuse acceptance of a booking and the right to refuse admission to any participant and to eject or cause to be ejected any participant.
- Kainos shall not be responsible for applications that are lost, delayed, misdirected or incomplete.
- Kainos reserves the right to cancel or postpone CodeCamp.
- Participants are responsible for their own digital security. Kainos accepts no liability whatsoever for the theft, loss or damage caused by participation in CodeCamp.
- Kainos CodeCamo 2024 will be hosted at three locations: Queens University Belfast Campus (QUB) and Birmingham City University Campus (BCU) and University of Gdansk Campus. Students applying for a specific camp will attend sessions at the corresponding university campus for that location.
- Smoking, the consumption of alcohol and the taking of controlled drugs during CodeCamp is strictly forbidden.
- Participants must comply with any directions, instructions and/or guidance given to them by CodeCamp staff.
- Participants are expected to attend each day of the course. Any participant failing to attend more than one day will not be able to attend the rest of the course.
- Participants agree to comply with the Kainos Academy Code of Conduct at all times.
Kainos Academy code of conduct
Kainos Academy stands for inclusion and diversity. We believe that every single person has the right to enjoy a safe and welcoming environment.
Harassment includes but is not limited to: offensive verbal or written comments related to gender, age, sexual orientation, disability, physical appearance, body size, race, religion, sexual images, deliberate intimidation, stalking, following, harassing photography or recording, sustained disruption of talks or other events, inappropriate physical contact, and unwelcome sexual attention.
If what you’re doing is making someone feel uncomfortable, that counts as harassment and is enough reason to stop doing it.
Sponsors, judges, mentors, volunteers, organisers, Kainos staff and anyone else taking part in the event are also subject to the anti-harassment policy.
Participants asked to stop any harassing behaviour are expected to comply immediately. Failure to do so will result in further consequences, as seen reasonable and appropriate.
If a participant engages in harassing behaviour, Kainos may take any action Kainos deems appropriate, including warning the offender or expulsion from the event with no eligibility for reimbursement of any type.
Code of conduct
CodeCamp 2024 will be delivered in-person. Participants must abide by the code of conduct at all times. If a participant does not abide by the code of conduct, Kainos may take any action Kainos deems appropriate, including warning the offender, or expulsion from the event with no eligibility for reimbursement of any type.
- Appropriate behaviour is expected at all times.
- Please be on time – anyone who attempts to enter later than 5 minutes after the start time will not be admitted.
- You must wear suitable clothing at all times. Clothing must not contain sexualised or offensive language or images.
- You should not use or display sexualised or offensive language, images, activities, or other material during the event.
- You should take part from a quiet, distraction-free environment.
- If you receive any offensive, sexualised or otherwise inappropriate messages, or are subject to any harassment, please report them to the CodeCamp mentor immediately.
- Screen recordings, pictures or screenshots are not permitted at any time, unless expressly instructed by a CodeCamp mentor.
- You must not share links or passwords to the events with anyone else.
Restricted Use of Internet Services
Participants are provided with internet access for the express purpose of facilitating their learning and participation in CodeCamp activities.
The following activities are expressly prohibited:
- Accessing or distributing inappropriate or illegal content.
- Engaging in activities that violate the CodeCamp's academic integrity policies.
- Using the internet for non-CodeCamp-related activities, including but not limited to, personal social media, gaming, streaming entertainment, or unrelated business activities.
- Downloading or installing unauthorized software or applications.
- Any activity that disrupts or interferes with the network performance or CodeCamp operations.
Personal information
In order for you to participate, you will need to share some personal information about yourself such as your name, email, school and country of residence. We will use this personal information to communicate with you about the event. We may use some of your personal information such as images or videos to publicise and promote what we do for young people interested in technology. If you are under eighteen (18), we will ask for your parent’s or guardian’s permission to use your personal information.
We will keep your personal information safe by:
- storing it in a secure system,
- only sharing it with people who are involved in CodeCamp, and
- only keep your personal information for as long as we need it.

Consent
Complete part 9 on the application form.
Participant under 18 - to be read and agreed to by participant’s parent/legal guardian if participant is under eighteen (18) at the date of completion of this form.
Participant is 18 or over - to be read and agreed to by participant aged eighteen (18) or older with proof of age (government issued photo IDs only).
Where participant is under 18
- I declare that I am the person having parental responsibility of the named child (“my child”) and that I have full capacity to provide parental consent.
- I consent to my child participating in Kainos CodeCamp without any liability whatsoever on the part of Kainos and CodeCamp organisers in respect of any injury, loss or damage suffered by him/her, provided that this does not exclude the liability of any such part for death or personal injury arising from that party’s negligence.
- I have reviewed and understand the terms and conditions of participation set out in Parts 2 and 3 above and have discussed them with my child.
- I agree that quotes and images such as photographs and video footage of my child may be recorded by Kainos for archive, publicity, promotional and marketing purposes.
- I can be contacted on the telephone number(s) given in the event of an emergency.
Where participant is 18 or over
- I declare that I am over 18 and that I have full capacity to provide consent.
- I consent to participating in Kainos CodeCamp without any liability whatsoever on the part of Kainos and CodeCamp organisers in respect of any injury, loss or damage suffered, provided that this does not exclude the liability of any such part for death or personal injury arising from that party’s negligence.
- I have reviewed and understand the terms and conditions of participation set out in Part 4 above.
- I agree that quotes and images such as photographs and video footage of me may be recorded by Kainos for archive, publicity, promotional and marketing purposes.
- My parent(s) can be contacted on the telephone number(s) given in the event of an emergency.
