Roboyo is a leading provider of AI-powered automation solutions with a mission to transform businesses. Founded in 2015 and headquartered in Germany, Roboyo has grown to over 550 employees across 15 countries.
Roboyo went live on Workday in January 2025, seeking to streamline its key HR processes and more effectively manage a geographically dispersed workforce.
The challenge: A lean team managing a new system
During its initial Workday implementation, Roboyo was concerned about not having dedicated testing resources, instead relying on its HR team. It found that a manual approach was using up valuable time, and issues were being flagged later in the testing process, compounding the challenge.
Testers initially used proxy access in non-production tenants, but this was removed after go-live due to data protection concerns, leaving all testing with a single HRIS manager.
Roboyo recognised the need for a secure sandbox where more users could safely contribute and upskill by doing their own test scenarios, improving test coverage and supporting ongoing Workday operations and stabilisation.
Choosing Kainos: A made-for-Workday approach
With a newly appointed Workday system owner, Roboyo required a reliable, scalable method to maintain stability, control, and robust data access governance post go-live without a large internal team.

Selecting Smart Test and Smart Shield, Roboyo recognised that their seamless integration with Workday would make adoption more straightforward. This avoided disrupting existing processes and supported the goal of stabilising the new Workday implementation, rather than complicating it with third‑party services.
These solutions would also enable Roboyo to run Workday more efficiently and unlock its full value, even with limited internal resources. By preventing testing bottlenecks, they free up valuable time that can be redirected to more meaningful, high‑impact work.
